A bank deposit can combine several rental payments and may arrive after fees, adjustments, or processing delays. Match the deposit to the payment-platform or collection detail before assigning it to properties. The deposit description alone rarely supplies the full breakdown.
Collect the deposit-level report
Find the payout or deposit identifier, payment detail, property or unit references, fees, adjustments, and settlement date. Confirm that the report explains the specific cash movement rather than all activity for a different period.
Keep the source report with the bank reference. If the platform batches payments, the payment date and the bank-arrival date may differ.
Work through an illustrative deposit
Suppose a payout includes a $1,400 rental payment for Property A and a $1,600 rental payment for Property B, less a separately documented $45 processing fee. With no other adjustments, the expected bank deposit is $2,955.

Check whether receipts already exist
Payments may already have been recorded from a rent roll, invoice system, or platform integration. Review those entries before adding the bank deposit as another receipt. Matching a settlement to existing records is different from creating new income.
If the books use a clearing account, inspect its balance and related transactions. A remaining balance needs an identified reason, such as a supported payment awaiting settlement, rather than a blanket adjustment.
Keep adjustments separate
A refund, reversal, or other platform adjustment can affect the payout. Link it to the original payment and the related property where the evidence supports that connection. Do not spread an unexplained difference evenly across properties simply to make the total fit.
Finish the monthly review
List unmatched payouts, missing payment references, and payments still awaiting bank settlement. Carry those items forward with source references and assigned next actions.
Include the deposit detail in the property month-end pack so a portfolio-level cash total can still be traced to the individual property records.
